Cayuse Holdings provides Application Development, Business Process Outsourcing (BPO), Data Services Professional Services and government services in both office and virtual environments with a highly-skilled U.S. workforce.

The U.S. Department of State's Office of the Special Representative for Afghanistan Reconciliation (S/SRAR) has a requirement for full-time support services as an Administrative Assistant. This position is located in Washington, D.C. 

PERSONNEL REQUIREMENTS

The contractor shall provide support services that include travel arrangements, document drafting, correspondence review, timekeeping, and scheduling to meet the needs of the S/SRAR.

DUTIES AND RESPONSIBILITIES:

  • Extensive experience with E2 Solutions Software for independent performance in an extremely fast-paced and changing business environment. These travel support duties include scheduling and rescheduling of travel arrangements and requisite government approvals; obtaining travel expense estimates (M&IE, taxi, and hotel); coordinating security arrangements; completion and follow through on processing specialized executive Agency travel forms. Reviewing, filing, and verifying eCountry Clearances (eCC); making travel and hotel reservations; managing passports, visas, and travel advances, as necessary on behalf of members of the S/SRAR and based on information provided by travelers. Post travel processing experience: follows up with travelers to ensure all expense documents and electronic travel vouchers have been properly submitted on their behalf and on time (i.e. within 5 days of end of travel).
  • Flexibility, patience, and agility to process changing travel tasks. Due to the unique mission requirements of the S/SRAR office, travel arrangements often evolve in complexity due to changing operational revisions after departure.
  • Professionally communicates with internal staff and stakeholders via email and telephone
  • Professionally responds to business calls coming into the office.
  • Supports and backfills the Office Manager in maintaining the schedule for the Special Representative and Deputy Special Representative for Afghanistan Reconciliation.
  • Prepares correspondence, telegrams, and memoranda, ensuring that all conform to style and format guidelines established by the Department's Executive Secretariat.
  • Maintains office files
  • Procures necessary office supplies.
  • Prepares vouchers for taxis and representational funds.
  • Makes and acknowledges various social arrangements and obligations which are a part of the official responsibility of S/SRAR office.
  • Manages other tasks authorized by the Government Task Manager that fall within the scope of this task order.
  • Processes/reviews all incoming and outgoing letters, memos and related correspondence.
  • Prepares reports, memoranda and other forms of written communication.
  • Composes and edits letters, reports and general office memoranda for publication/distribution.
  • Copies and prints documents and organizes and manages office files.

Deliverables. The contractor shall provide the following deliverables:

  • Monthly Time and Attendance:  The Contractor will provide employee time and attendance data for herself and the employees in his unit to the Task Manager.
  • Daily, Weekly and Monthly Reports as needed by Task Manager. 

SPECIAL KNOWLEDGE REQUIREMENTS:

 The contractor shall have the following skills:

  • Excellent knowledge of Department of State operations, travel databases, and overall office management experience.
  • The ability to assimilate into a fast-paced team and complete assigned administrative duties with little supervision.
  • Experience as a secretary/administrator in a fast-paced office environment.
  • Working knowledge of personal computers and general administrative practices
  • Operation and knowledge of Excel, Microsoft Word, E2 Solutions, and related computer-based programs operations.
  • Ability to work under pressure and tight or short deadlines.

SECURITY CLEARANCE  The candidate must possess a Secret clearance issued by the U.S. Government and maintain this eligibility for the duration of employment.
