Position:

1. Receives, schedules, refer calls and visitors as appropriate. Handles many requests on behalf of office staff, referring only those they cannot answer to the appropriate staff members or correct office or official. Receives calls come from the public; other agency personal. Schedules appointments of staff members or immediate supervisor and makes commitments to attend meetings, luncheons etc.
2. Responds to administrative problems brought to the supervisor's attention by member of the staff or management officials. Notifies the appropriate subordinate's management officers of the need for information or recommendation. Prepares responses to inquiries for information.
3. Maintains the Director's calendar, establishing priorities and assuring all obligations are met; makes arrangements for meetings and conferences, informing participants.
4. Prepares travel authorizations for Director or staff member as requested. Prepares trip itinerary obtains travel expenses estimates (MI & E costs, taxi, hotel costs, etc.; prepares travel authorization request. Upon completion of the trip works with Director or staff member to prepare a reimbursement travel voucher. Follows up with traveler to ensure all travel documents have been submitted properly and on time (i.e. within 30 days).
5. Processes/reviews all incoming and outgoing letters, memos and related correspondence. Prepares reports, memoranda and other forms of written communication. Composes and edits letters, reports and general office memoranda for publication/distribution on behalf of the Director or senior level officer. Prepares public presentation outlines at the direction of immediate supervisor; develops standard or one of a kind letters in response to inquiries. Signs routine correspondence and certain procedural authorizations on behalf of the supervisor as directed. Screens all publications, periodicals and brings to the supervisor's attention articles of particular interest that affect Office program.
6. In the supervisor's absence, maintains a file of correspondence and events of which the supervisor should know about and upon their return, brings such matters to their attention.
7. Maintains appointments, calendars, and schedules. Schedule appointments, coordinate meetings, and/or schedules organizational conference meetings on behalf of immediate supervisor. Exercises exclusive control over supervisor's appointments, answering general questions about procedures.
8. Maintains office files.

  • The employee must record timely & accurate work hours in Cayuse Technologies time and attendance system
  • Professional and reliable client engagement

Minimum Qualifications:

  • U.S Secret clearance required 
  • Extensive expert knowledge of Department of State
  • Strong working experience with E2 Solutions software
  • Knowledge of Department of State financial systems.
  • Experience with the Department of State cost reimbursement system for overseas administrative support services.
  • Working knowledge of personal computers and general administrative practices.

Preferred Qualifications:

  • Department of State contractor experience 
  • E2 Travel Solutions

Working Conditions:

  • Normal physical conditions
  • General office environment
  • Must be able to sit for long periods of time looking at a computer screen
  • May be asked to travel for business or professional development purposes
  • May be asked to work hours outside of normal business hours
